Open the dashboard

This confirms whether the workspace has enough record data to calculate useful information.
- 2Review the health score
The score reflects the proportion of drivers and vehicles without critical or due-soon items.
- 3Work through priority items
Open critical records first, then due-soon items, tasks and incidents.
- 4Use the activity timeline
Review recently created, updated or completed work across the workspace.
Create and maintain records Add companies, contacts, drivers and vehicles. Records

Choose Companies, Contacts, Drivers or Vehicles from the Records group.

Complete the required fields first, then add operational and compliance details.
- 3Use search and filters
Find records by name, registration, company, status or other available criteria.

Use the tabs to access overview information, linked records, documents, requests and audit history.

Select a linked record to move directly to its full workspace view.

Upload and manage documents Attach evidence to the correct record. Compliance

Start from the document library or the record the file belongs to.
- 2Choose the linked record
Select the company, driver, vehicle or other record before uploading.
- 3Add document details
Enter a clear name, document type and expiry date where applicable.
- 4Preview and download securely
Use the document viewer to inspect the file without losing the record context.
Track compliance dates Use critical and due-soon information correctly. Compliance
- 1Enter the source date on the record
Add MOT, insurance, PMI, tachograph or other applicable dates directly to the vehicle or driver.
- 2Review the status
Critical means the date has passed. Due soon means it is inside the configured warning period.
- 3Create the follow-up work
Add a task or incident where the date requires action, investigation or evidence.
- 4Update the date and evidence
Once completed, enter the replacement date and attach the supporting document.

Give the task a clear outcome, not just a short reminder.

Make responsibility and timing visible to the workspace.

Record what happened, when it happened and the people or vehicles involved.

Use open, under investigation, action required, review and closed states consistently.
- 3Add evidence and actions
Link documents, tasks, notes and related records to the incident.

Record the outcome, decision and any ongoing monitoring requirement.
Send a record update request Collect missing information without email chains. Workflows

Select Request update from the record actions.
- 2Choose the allowed fields
Only request the fields the recipient needs to review or change.
- 3Set the recipient and expiry
Confirm the email address, message and how long the secure link remains active.
- 4Review the submitted update
The request history remains linked to the original record for audit visibility.
Use the audit log Review what changed and when. Compliance

Use the record view for focused history or the workspace audit log for broader activity.
- 2Review the action and timestamp
Identify when the record was created, updated, linked or changed in status.
- 3Compare old and new values
Use field-level differences where available to understand the exact change.

Use audit-mode export for review, evidence gathering or internal investigation.
Search, filter and export lists Find the right records without manually scanning. Records

Search the record values supported by that list, such as names or registration numbers.
- 2Apply focused filters
Filter by status, company, date or other available record properties.
- 3Change sort order
Use the sort control to bring the most relevant or urgent records to the top.

Export only after checking the active filters and required data scope.
